Vessel nomination is the formal process by which owners or operators identify the ship proposed to perform a cargo contract. A clear nomination procedure gives charterers enough information and time to verify that the vessel complies with contractual, technical and operational requirements.

When nomination is required
In a voyage charter for a named vessel, the ship is normally identified during fixture. Under a contract of affreightment, booking arrangement or fixture allowing substitute tonnage, the performing vessel may be nominated later within an agreed period.
The contract should specify who nominates, the nomination deadline, the information required and the period available for approval or comments.
Information in a vessel nomination
A complete nomination usually includes the vessel name, IMO number, flag, year built, class, deadweight, draft, dimensions, hold and hatch particulars, cargo capacity, gear details and current position.
Depending on the cargo and trade, charterers may also require ownership and management details, P&I information, statutory certificates, previous cargoes, expected arrival schedule and relevant compliance declarations.
Technical compatibility with the cargo
The vessel must be capable of carrying the contracted quantity within port draft and dimensional limits. For dry bulk cargo, cubic capacity, hold condition, hatch configuration and previous cargoes may affect acceptance.
For breakbulk or project cargo, reviewers should consider individual unit weights, crane outreach, hatch access, deck strength, securing points and the proposed stowage arrangement.
Compatibility with the ports
A suitable ship must meet the restrictions of both loading and discharge ports. Length overall, beam, arrival draft, air draft, berth dimensions, crane limits and terminal rules may all affect approval.
Port information can change, and an earlier call does not guarantee current acceptance. Agents and terminals should confirm critical restrictions for the intended dates.
Reasonable approval procedures
The nomination clause should distinguish objective contractual requirements from discretionary commercial approval. If approval must not be unreasonably withheld, any objection should relate to the agreed criteria and be communicated promptly.
A rejection should identify the specific deficiency where possible, giving the nominating party an opportunity to clarify the information or propose another vessel within the contractual time.
Nomination deadlines
Late nomination can affect terminal bookings, cargo delivery, documentation and survey arrangements. It may also leave insufficient time for proper vessel screening.
The contract should address the consequences of a late, incomplete or non-compliant nomination, as well as any time allowed for a replacement proposal.
Substitution of the vessel
A right to substitute should be stated expressly. The substitute vessel normally needs to meet the contractual requirements and should not materially prejudice the cargo operation.
Parties should confirm whether substitution changes the ETA, laycan, cargo quantity, port compatibility or other fixture terms. Approval of one vessel does not automatically amount to approval of another.
Changes after approval
Material changes in ETA, ownership, management, class status, insurance or voyage orders should be communicated. A nomination may need renewed review if the facts on which approval was based no longer apply.
Ongoing reporting is particularly important where the vessel has preceding employment or faces congestion, repairs, weather delays or compliance issues.
